Can I Pay My PAYE Bill Quarterly?

When it comes to running a payroll in the UK, most employers know that PAYE (Pay As You Earn) is a system used to collect income tax and National Insurance (NI) from employees’ wages. But one question we often get asked is: Can I pay my PAYE bill quarterly instead of monthly? The answer is yes—but only if you qualify.

Monthly vs Quarterly PAYE Payments

The default for most employers is to pay PAYE liabilities monthly. HMRC expects the payment to be made by the 22nd of the following tax month (19th if paying by post).

However, if your business is small and your PAYE and NI liability averages under a certain amount each month, you may be able to switch to quarterly payments.

Who Can Pay Quarterly?

You can pay your PAYE bill quarterly if your average total PAYE and NIC bill is less than £1,500 a month. This threshold includes:

  • Income Tax deducted from employees’ wages
  • Employee National Insurance contributions
  • Employer National Insurance contributions
  • Student loan deductions
  • Apprenticeship Levy (if applicable)

This threshold is checked based on expected annual totals. If you qualify, HMRC will allow quarterly payments automatically, or you can request to switch.

When Are Quarterly PAYE Payments Due?

If you’re paying quarterly, your PAYE bill must be paid by the 22nd (or 19th if posting a cheque) after the end of the quarter. The quarters are:

  • 6 April to 5 July – payment due by 22 July
  • 6 July to 5 October – payment due by 22 October
  • 6 October to 5 January – payment due by 22 January
  • 6 January to 5 April – payment due by 22 April

It’s important to note that this only changes when you pay your bill. You still need to submit payroll reports (FPS and EPS) to HMRC every month, on or before pay day.

How Do I Check If I Qualify?

Look at your average monthly PAYE bill. If you usually pay under £1,500, you’re likely eligible. For example, if your combined PAYE and NIC totals £4,000 across three months, that averages just over £1,300 per month—so you’d qualify.

How Do I Switch to Quarterly Payments?

If HMRC hasn’t already placed you on quarterly payments (they often do this automatically for new, small employers), you can contact them and request to change.

You’ll need to:

  • Call the Employer Helpline on 0300 200 3200
  • Confirm your PAYE reference
  • Explain you meet the criteria and want to move to quarterly payments

There’s no official form—it’s usually a straightforward request.

Should I Pay Quarterly?

Paying quarterly might be attractive if:

  • You want to smooth out cash flow.
  • You don’t want to process payments every month.
  • Your payroll is small and predictable.

But there are things to bear in mind.

Pros of Paying PAYE Quarterly

  • Cash flow flexibility: Gives you longer to hold onto your funds, which can help when managing overheads.
  • Fewer payments to process: You’ll only need to schedule 4 payments per year instead of 12.

Cons of Paying PAYE Quarterly

  • Larger payments: You’ll need to be disciplined with budgeting, as your quarterly bill will be 3 months’ worth of deductions.
  • Risk of falling behind: If you miscalculate or forget to set aside funds, you could find yourself short at the deadline.
  • Still need to file monthly: Quarterly payments don’t remove the obligation to report payroll monthly.

What If You Stop Qualifying?

If your business grows and you go over the £1,500/month average, HMRC may switch you back to monthly payments. They’ll usually notify you if that happens. It’s important to monitor your PAYE bills if you’re near the threshold, so you’re not caught out.

Can I Pay Early?

Yes. Some employers prefer to pay PAYE in advance—either monthly or setting aside funds as they go. Just make sure HMRC allocates your payment correctly. Always include your PAYE reference in the payment details.

What Happens If I Miss the Deadline?

HMRC charges interest and penalties for late payments, whether monthly or quarterly. Even if you qualify for quarterly payments, missing the quarterly due date can still result in:

  • Interest charges
  • Late payment penalties
  • Potential withdrawal of the quarterly payment privilege

So it’s crucial to stick to the deadlines.
